Move your GovCon contacts into a free CRM for FY2027
Bring a contact spreadsheet into G2X's free CRM while preserving the company context and follow-up that make the records useful.
You can bring a CSV or Excel .xlsx contact list into G2X's free CRM, match the spreadsheet columns to contact fields and review the records before importing. G2X Community Edition includes free CRM accounts and contacts. The useful part of the move is giving your team a shared place to continue buyer and partner conversations as FY2027 begins on October 1.
Most GovCon contact spreadsheets contain more than contact details. There is the person who asked for a project summary after an industry day, the prime's small-business contact who suggested a different division, and the former colleague who now works at a target agency. The spreadsheet may capture those relationships in comments, extra columns or someone's shorthand. Keep that context when you move the names.
Start with the relationships your team is working on
You do not need to clean every historical contact before using a CRM. Start with a manageable group tied to active buyer research, potential partners or an upcoming conversation. Keep the original file, agree which records belong in the first batch and resolve obvious duplicates before importing.
For each person, confirm the organization and the contact details you actually know. A familiar company abbreviation can be clear to one teammate and ambiguous to another. Check a changed role against a current source or the relationship itself.
Company context is especially useful when several people work for the same prime. One may handle supplier registration while another knows the program you are researching. Keeping them linked to the right CRM account makes that distinction visible when a colleague prepares for the next call. The account guide explains how to keep that company record useful.
Import the fields that will support the next conversation
The contact importer lets you map supported columns, including name, title, email, phone, account and next action. The contact guide covers the field details. Review the preview against your original file before committing the import, particularly where one sheet uses company nicknames or combines information in a single cell.
For account links, use the name of the existing G2X CRM account. The importer can attach a contact when that name has one clear match. A missing or ambiguous account match leaves the contact unlinked, so review those records afterward. Importing the file does not automatically merge duplicate people or keep the CRM synchronized with future spreadsheet edits.
Some of the most useful information needs attention after the import. Add the relationship notes, assign the follow-up owner and set a due date where there is a real commitment. A row that says "send facilities experience after call" should become an action someone can carry out, with the relevant conversation retained in the record.
This is where the move begins to pay off. A teammate can see what was discussed and what is owed without asking the person who built the original spreadsheet to interpret every row. Our free GovCon CRM article follows that ongoing account work after the records are in place.
Use Lumen for the context, then review the result
G2X Lumen can analyze documents you upload, such as meeting notes or a capability statement, and help turn them into a concise account brief. For this task, ask it to identify explicit commitments, questions to resolve and the relevant source passages. Keep proposed follow-ups separate from things the contact actually agreed to.
The Lumen guide describes that document-analysis workflow. Lumen is separate from the free CRM import, which you can complete directly. Review the brief against your notes before adding it to the account, especially where the conversation included a possible introduction or a tentative next step.
After the first batch, choose a few real relationships and use the records to prepare the next conversation. Check the company link, the context and who owns the follow-up. If those details are usable, bring in the next group. The number of imported contacts matters less than whether your team can pick up where the last conversation ended.

Move an authorized contact spreadsheet into G2X CRM and preserve useful follow-up
- The user's target market or requirement and authorized company evidence.
- A G2X account for the supported free manual research path; separately authorized Lumen access for the suggested document-analysis prompt.
Choose the authorized first batch
Ask which contact file and relationships the user wants to move. Confirm permission to process the data, keep the original file and identify existing records before creating duplicates. Start with active buyer or partner conversations. Do not collect additional personal contact data or infer missing emails or current employers.

Use CSV or Excel .xlsx; the importer reads the first worksheet. Contacts need a last name. Supported mappings include first and last name, title, type, email, phone, LinkedIn, account and next action. Put relationship notes, owner and due date in a separate follow-up checklist because they are not contact-import mappings. Confirm the intended CRM accounts exist; account links require a unique case-insensitive account-name match.

Open G2X Contacts and use Import spreadsheet or Import. Map only supported columns, inspect the preview and resolve reported row errors. Check for repeated people already in CRM; the import does not merge duplicates. An unmatched or ambiguous account leaves the contact unlinked. Respect the import's 2,000-row batch limit without describing it as an overall CRM contact limit. Get approval for the specific batch if the user has not already authorized its creation.

After an authorized import, inspect representative saved contacts and reconcile the reported successful and failed rows. Check names, contact values and company links against the original file. Add the permitted relationship notes, owner and due date afterward. Do not blindly repeat an uncertain import or promise ongoing synchronization with the spreadsheet.

For an authorized Lumen task, upload only permitted meeting notes or capability material. Suggested prompt: Prepare a short account brief from these documents. Cite explicit commitments, separate proposed next steps from agreed actions, and list questions to resolve before the next conversation. Do not invent a person's role, email or agreement. Follow up: Which detail needs confirmation from the person who attended the meeting? Review the brief before any CRM write. The contact import is a separate free workflow; this prompt does not perform it.

Report which approved records were created, which remain unresolved, and whether account links, context and next actions were checked. If only preparation was authorized, return the mapping and proposed changes instead. No outreach or newsletter subscription should happen automatically. A CRM next action records an intention; it does not send a message.
