A useful note captures the substance: the program, the proposed workshare, the experience requested and the question left open. Keep the relevant opportunity or forecast link with it. That gives the next person a way to prepare without searching through someone else's email or asking the contact to repeat the conversation.
This also makes a weekly capture meeting easier to run. The team can discuss whether the requested material is ready, whether the prime responded and whether the relationship still deserves attention. The record supports a real conversation about the work.
A next-action review beats a database cleanup marathon
