Map the county departments involved in a purchase
Separate operational need, purchasing process, and verified project roles in county procurements without guessing authority from titles.
A useful county buying-role map connects a specific requirement to the department that needs it, the office running the purchase, and the people assigned to the project. Build that map before deciding who should join a buyer conversation or review your response. A countywide organization chart rarely tells you enough about one purchase, especially when several departments will use the same service.
Start with the requirement in G2X SLED, then follow its original notice to the county's procurement portal. The SLED search guide explains the search and document views. Match the jurisdiction carefully: a county, a city and a school district can share a place name while buying separately. If the requirement is still being developed, an official department page can establish the service it operates, but the purchasing route may remain unresolved.
Find the structure behind this purchase
Counties organize purchasing differently. Charleston County's Contracts and Procurement Department buys goods, services and equipment for county departments and helps plan and schedule their bids. Its Central Parts Warehouse supports fleets used by the Sheriff's Office, EMS and Public Works. A fleet supplier researching that county therefore has reason to examine both the purchasing organization and the operating departments named in the requirement.
Utah County describes its procurement function as largely decentralized. Its purchasing resources support county staff carrying out that work. The contrast is useful because it changes the research: finding a central purchasing office does not finish the account map, and finding an operating department does not establish who runs its solicitation.
For the purchase you are considering, read the scope alongside the instructions to bidders. The scope identifies the work and who will use it. The instructions establish how the county wants vendors to participate. A project attachment may identify another party responsible for technical review, site coordination or implementation. Record those roles as the documents describe them, with a link to the relevant passage.
Make the map useful to your team
Consider a supplier preparing for a county equipment purchase. Its technical lead needs to understand the users' operating conditions; its proposal lead needs the submission rules; its delivery lead needs to know who coordinates access. Those are different questions, even when the same office helps answer more than one. A short note tying each question to documented responsibilities gives the team something it can use in a bid review.
Keep uncertain responsibilities visible. A directory entry can confirm someone's title without establishing their authority for this purchase. When budget ownership or approval responsibility matters to your decision and the public record does not answer it, write down the unanswered question. During an active competition, follow the solicitation's communication instructions and question deadline. The role map helps you prepare a better question; it does not create permission to approach anyone outside that process.
Save the evidence where the next person will find it. G2X CRM account notes can retain the county, requirement, source links, date checked and your team's next action. Check for an existing account first. That preserves continuity when research moves from business development to a technical or delivery colleague.
You can complete the research for free with G2X SLED, CRM and official county documents. For a long public solicitation, Lumen can help extract documented roles and identify passages to check. Lumen is included on every plan during preview, subject to fair use, with Community usage resetting weekly; see current access. Review its citations against the original documents before using the result.
Before the next account review, attach one concise role note to the requirement. Name the operating department, the purchasing office, the designated question channel and the unresolved responsibility that could change your approach.

For agents
Map the county departments and verified project roles involved in a purchase by separating operational need, procurement process, and documented authority.
- A user-defined requirement or target jurisdiction, the original public procurement documents, and access needed for any chosen G2X account actions. Reuse existing authorization; ask only if missing for uploads or record changes. Return findings in conversation by default. Do not contact anyone or subscribe the user.
Set the research scope
Confirm the county, requirement and intended decision. Start with https://g2x.com/app/opportunities/sled and the search guide at https://g2x.com/docs/find-work/find-state-and-local-work. Use the issuing portal to verify the jurisdiction and notice status. Coverage is incomplete; an empty search is not proof of no purchasing activity. Documentation and account actions may require sign-in.
Build a sourced role map
Read the official procurement page, operating department page and relevant solicitation. For each documented role, record the organization, responsibility, source passage and date checked. Separate the operational department, purchasing process and project roles. Mark signing or budget authority unknown unless expressly supported. Record communication rules and the question deadline from the active solicitation.
Use optional public-document extraction
If authorized, upload the specific public files to Lumen using Add > Add documents, which opens the file picker and stores uploads in Company Library. Use https://g2x.com/docs/lumen/ask-a-good-question. Illustrative prompt, not executed for this article: "Using only these files, identify the operating department, purchasing office, project roles and designated question channel. Cite the file and page or section for each. List unconfirmed responsibilities without inferring authority from titles." Check each passage manually; do not upload private customer, company or personnel material.
Deliver and retain the next question
Return the map in conversation with source links, unknowns and the question most relevant to the user’s decision. If CRM changes are already authorized, search existing accounts before creating or updating the county record using https://g2x.com/docs/run-a-pipeline/track-an-account. Preserve unrelated notes, add the verified source context and a dated next action, then read back the save. Otherwise ask only for the missing write permission. Do not contact the buyer or subscribe anyone.
Expected result: A source-linked county buying-role map delivered in conversation that separates the operating department, purchasing process, designated question channel, verified roles, and unconfirmed authorities.
